1) Marketing System

What it is: Your marketing system encompasses all the ways you attract and nurture potential clients - from your website and social media presence to email campaigns and referral processes. Think of it as your business's visibility engine.

Why it matters for growth: Many businesses experience the "feast or famine" cycle where focusing on marketing brings in clients, but then client work consumes all your time, causing marketing to suffer and new leads to dry up. A strong marketing system continues working even when you're busy with client delivery.

Audit questions to consider:

  • How are you drawing in new leads consistently?
  • Do you have automated email sequences in place?
  • Is your website optimized to convert visitors into leads?
  • Can your marketing continue functioning if you get busier with client work?

2) Sales System

What it is: Your sales system guides prospects from initial interest to signed contract. It includes how people schedule consultations, your sales process, contract delivery, and payment collection.

  • Can team members easily see project status and their responsibilities?
  • How do you track time, team capacity, and measure project profitability?

6) Client Management System

What it is: Your client management system supports the entire client relationship from onboarding through project completion and beyond. It includes communication guidelines, feedback processes, and off-boarding procedures.

Why it matters for growth: As your client roster expands, maintaining quality relationships becomes more complex. A strong client management system ensures every client feels prioritized and well-served, leading to referrals and repeat business that fuel sustainable growth.

  • What do your client onboarding and off-boarding processes look like?
  • How do clients provide feedback during and after projects?
  • How do you maintain boundaries with demanding clients?
  • Can you easily track important client information and communication history?

7) Financial Management System

What it is: Your financial management system includes not just bookkeeping and taxes, but also cash flow forecasting, expense planning, pricing strategies, and financial decision-making.

Why it matters for growth: Growth requires strategic financial planning beyond hoping everything balances out. You need to predict cash flow, plan for expenses, and make informed decisions about investments for your business's future growth.

  • Can you predict your business finances 2-3 months ahead?
  • How do you plan for potential late payments or unexpected expenses?
  • Do you have systems for tracking profitability by project?
  • Are you making financial decisions based on data or gut feelings?

Finding the Friction Points

This way, you can see what impact stressing out, say, your file management system will have on your file management but also on your project and client management systems. This will also give you a chance to visually map out nexus points – places where your systems overlap and strongly influence each other. These are most likely to be your friction points, the potential weak spots in your operational readiness. 

Once you know where the gaps in your metaphorical armor are, the next question is what needs to change and in what order? Knowing how to prioritize your systems can be tricky: you want to make sure your business keeps growing, but you don’t want to crash and burn by adding too much to your business’ plate before it’s ready. Start by finding the systems that will break down the fastest as you start to grow. For example, if you know your project management system will start breaking down once you add 4+ more clients to your current 10, but your file management and client management systems will be okay until you’re serving around 25 clients at the same time, then you need to prioritize updating your project management system first so that you can keep scaling and growing your business without losing any momentum.
